Work Calendars

The Work Calendars page allows Workforce administrators to define reusable working schedules for labour resources, departments, workstations, and workstation groups.

A Work Calendar combines:
Working weekdays
One or more Work Shifts for each working day
Weekly shift patterns
Holidays
Date-specific exceptions
Company and Shop default assignments
Instead of configuring working days separately for every worker or workstation, administrators can create a shared calendar and allow multiple resources to inherit it.
For example:
Office employees may follow an Office Calendar
Production workers and machines may follow a Main Production Calendar
Maintenance teams may use a 24/7 Maintenance Calendar
Site teams may use a project-specific working calendar
Work Calendars help Fabritec determine:
Whether a resource is working on a selected date
Which shift or shifts are available
Scheduled labour hours
Planned workstation hours
Staffed production capacity
Crew and rotation availability
Holiday and exception behavior
Derived timesheets
Workforce and workstation productivity

Navigate to:
Workforce → Work Calendars
Users normally require the appropriate Manage Work Calendars permission to create, edit, retire, or configure Work Calendars.

Work Calendars Page#

The Work Calendars page displays all reusable calendars configured in Fabritec.
The grid includes:
Name
Default Slots
Status
Actions
You can also:
Export Work Calendars to Excel
Export Work Calendars to PDF
Search for a calendar
Filter individual columns
Show or hide columns
Clear active filters
Reset cached scheduling data

Name#

Shows the name of the Work Calendar.
Examples:
Main
Office
Production – Two Shift
Maintenance 24/7
Site Operations
Ramadan Production
Weekend Operations
Use names that clearly explain which resources or working arrangement the calendar is intended for.

Default Slots#

Shows whether the Work Calendar has been selected as one of the organization’s default calendars.
Possible values include:
Company default
Shop default
No default assignment

Company Default#

The Company default is the final fallback calendar used when no more specific calendar can be resolved.
It is normally suitable for:
Office workers
Administrative teams
Engineering teams
Company-wide baseline scheduling
Example:
Calendar: Office
Default Slot: Company default

Shop Default#

The Shop default is the normal production-floor fallback calendar.
It is normally used for production resources that do not have a more specific calendar, including:
Labour resources
Labour Groups
Workstations
Workstation Groups
Example:
Calendar: Main
Default Slot: Shop default

Company and Shop Defaults#

Fabritec supports two separate default Work Calendar slots:
DefaultNormal purpose
Company defaultOffice or organization-wide baseline
Shop defaultProduction floor, labour, and workstation scheduling
The two defaults may point to different calendars.
Example:
Company default: Office
Shop default: Main
This allows office employees to work Sunday through Thursday while production workers and machines follow a different six-day or multi-shift schedule.

Status#

Shows the lifecycle status of the Work Calendar.

Active#

An Active calendar can be:
Assigned directly to resources
Used by Labour Groups
Used by workstations
Used as Company default
Used as Shop default
Selected in new scheduling configurations

Retired#

A Retired calendar is preserved for historical scheduling records but should no longer be selected for new assignments.
Before retiring a calendar, review whether it is currently used as:
Company default
Shop default
A Labour Calendar
A Labour Group Calendar
A Workstation Calendar
A Workstation Group Calendar
A calendar used as a required default may need to be replaced before it can be retired.

Actions#

The available Actions may include:

Edit#

Opens the Work Calendar editor.
Use Edit to update:
Name
Description
Default assignments
Weekly Shift Pattern
Working weekdays
Shift priority
Changes to an active calendar can affect future schedules for every resource that uses or inherits it.

View#

Opens the Work Calendar details.
The detail view can be used to review:
Weekly shift pattern
Working days
Assigned shifts
Holidays
Date exceptions
Resources using the calendar

Opens the form for creating a reusable Work Calendar.

Excel Export#

Exports the displayed calendar list to Excel.

PDF Export#

Exports the displayed calendar list to PDF.

Search#

Searches for a calendar by its displayed information.

Column Filters#

Filters records using a specific grid column.

Columns#

Shows or hides grid columns.

Clear Filter#

Removes all currently applied filters.

Reset Cache#

Refreshes cached scheduling information after changes to:
Work Calendars
Shifts
Holidays
Exceptions
Resource calendar assignments

🔍 What Is a Work Calendar?
A Work Calendar is a reusable schedule that defines which days are working and which Work Shifts operate on those days.
A calendar answers questions such as:
Does this worker work on Tuesday?
Which shifts run on Saturday?
Is this workstation available on a holiday?
How many scheduled hours are available?
Which shift should be used for capacity and timesheets?
A Work Calendar does not create new shifts.
The required Work Shifts must first be configured from:
Workforce → Shifts
The Work Calendar then assigns those reusable shifts to selected weekdays.

Add a New Work Calendar#

Navigate to:
Workforce → Work Calendars
Then click:
Add Work Calendar

Name — Required#

Enter a clear name for the Work Calendar.
Examples:
Office
Main Production
Production – Two Shift
Maintenance 24/7
Site Installation
Ramadan Working Calendar
The name should allow users to understand the calendar without opening its details.
Avoid unclear names such as:
New Calendar
Calendar 1
Test
Default
unless those names follow an approved internal naming standard.

Description — Optional#

Enter an explanation of the calendar’s purpose and working arrangement.
The Description field supports formatted content such as:
Bold
Italic
Underline
Paragraph styles
Numbered lists
Bulleted lists
Links
A useful description may explain:
Which resources should use the calendar
Normal working weekdays
Number of daily shifts
Special operational rules
Seasonal or project-specific usage
Example:
Main production calendar for shop-floor labour and workstations.

Working days:
- Saturday to Thursday

Available shifts:
- Day
- Night

Friday is normally non-working unless a Special Working exception is added.

Default Calendar Options#

The Add Work Calendar form includes two default options:
Company default (office)
Shop default (production)

Company Default — Office#

Enable Company default (office) when this calendar should become the organization’s Company default.
This calendar is normally the fallback for office or company-level resources.
Only one active Work Calendar should normally occupy the Company default slot at a time.
Selecting a new Company default replaces the previous default assignment.

Shop Default — Production#

Enable Shop default (production) when this calendar should become the production scheduling default.
This calendar is normally inherited by production workers, Labour Groups, workstations, and workstation groups when no more specific calendar has been selected.
Only one active Work Calendar should normally occupy the Shop default slot at a time.
Selecting a new Shop default replaces the previous Shop default assignment.

Can One Calendar Be Both Defaults?#

A Work Calendar may be configured as both Company and Shop default when the entire organization follows the same working schedule.
Example:
Company default: Main
Shop default: Main
For organizations with different office and production schedules, use separate calendars.
Example:
Company default: Office
Shop default: Main Production

Weekly Shift Pattern#

The Weekly Shift Pattern defines which shifts run on each weekday.
Each pattern row contains:
Work Shift
Selected working days
Drag handle for priority
Remove action
The helper text explains:
Choose a shift, select its working days, and drag rows to change the priority.

Select a Work Shift#

Choose one of the shifts already configured in:
Workforce → Shifts
The list may display the shift name and working-time window.
Example:
Day (08:00–17:00)
Night (22:00–06:00)
The Work Calendar reuses the shift’s configured:
Start Time
End Time
Break
Net working hours
Overnight behavior

Select Days#

Choose the weekdays on which the selected shift should run.
Available days include:
Sunday
Monday
Tuesday
Wednesday
Thursday
Friday
Saturday
Multiple days can be selected for the same shift.
Example:
Shift: Day
Days:
- Saturday
- Sunday
- Monday
- Tuesday
- Wednesday
- Thursday
This means the Day Shift is planned on all selected weekdays.

Add Pattern Shift#

Click Add Pattern Shift when another shift must be included in the calendar.

This is required when the factory operates more than one shift on the same day.
Example:
ShiftWorking days
DaySaturday–Thursday
NightSaturday–Thursday
Both shifts then run on the selected production days.

Multiple Shifts on the Same Day#

A Work Calendar may contain multiple shifts for the same weekday.
Example:
Saturday:
- Day Shift
- Night Shift

Sunday:
- Day Shift
- Night Shift
This is useful for:
Two-shift production
Three-shift production
Maintenance coverage
Weekend operations
For labour resources, the calendar defines which shifts are available on the day. The worker’s fixed shift, rotation, dated assignment, cover, or default shift determines which one applies to that worker.
For workstations, all effective calendar shifts may contribute to planned operating hours unless the workstation has its own shift override.

Shift Priority#

Use the drag handle beside a pattern row to change its priority or display order.
Priority is useful when more than one shift is configured for the same day.
The order helps Fabritec and users present the shifts consistently.
Example:
1. Day
2. Evening
3. Night
Changing the order does not change the shift’s start or end time.

Remove Pattern Row#

Use the X beside a row to remove that shift pattern before saving.
Removing a pattern row means the selected shift will no longer run on the configured weekdays for this calendar.
It does not delete the Work Shift itself.

Saving the Work Calendar#

After entering the calendar information:
1.
Confirm the Name.
2.
Review the Description.
3.
Select the required default options.
4.
Add each required shift.
5.
Select the correct weekdays for each shift.
6.
Review the shift order.
7.
Click Save.
The new calendar appears in the Work Calendars grid and becomes available for assignment.

Complete Example: Main Production Calendar#

Name: Main Production

Description:
Standard production-floor calendar for shop labour and workstations.

Shop default: Enabled
Company default: Disabled
Weekly Shift Pattern:
ShiftDays
Day (08:00–17:00)Saturday–Thursday
Night (22:00–06:00)Saturday–Thursday
Result:
Saturday through Thursday are working days
Day and Night Shifts operate on those days
Friday is non-working unless an exception overrides it
Production resources using Follow Default inherit this calendar through the Shop default

Weekly Shift Pattern:

Complete Example: Maintenance 24/7 Calendar#

Name: Maintenance 24/7

Description:
Continuous maintenance coverage for rotating maintenance crews.

Company default: Disabled
Shop default: Disabled
Weekly Shift Pattern:
ShiftDays
DaySunday–Saturday
NightSunday–Saturday
This calendar can be assigned directly to:
Maintenance Labour Group
Maintenance workers
Selected workstations
Maintenance-related operational resources

How Working Days Are Determined#

A weekday is normally considered working when the calendar contains at least one shift for that day.
Example:
Monday:
- Day
- Night
Monday is a working day.
Example:
Friday:
No assigned shift
Friday is normally non-working.
Holidays and date-specific exceptions can override the standard weekly pattern.

📅 Holidays and Calendar Exceptions
The Weekly Shift Pattern defines the normal recurring schedule.
Holidays and Calendar Exceptions modify specific dates without rewriting the normal pattern.

Holidays#

Holidays are managed from:
Workforce → Holidays
A holiday may:
Apply to every Work Calendar
Apply only to selected Work Calendars
Occur once
Repeat every year
When a holiday applies, the affected date normally becomes non-working.
Example:
Holiday: National Day
Applies to: All Calendars
All resources using those calendars are treated as non-working on that date unless a more specific Special Working exception applies.

Calendar Exceptions#

A Calendar Exception changes the schedule for one specific date.
Supported exception concepts include:
Holiday
Non-Working
Special Working
Shift Override

Non-Working Exception#

Marks a normally working date as non-working.
Example:
Date: 15 August 2026
Type: Non-Working
Reason: Factory closure

Special Working Exception#

Turns a normally non-working or holiday date into a working date.
A Special Working exception takes priority over an applicable holiday for that calendar.
Example:
Date: Friday, 21 August 2026
Type: Special Working
Shift: Day
Even though Friday is normally off, the calendar operates the selected shift on that date.

Shift Override#

Replaces the normal shift arrangement for a selected date.
Example:
Normal Tuesday shifts:
- Day
- Night

Exception:
- Evening only
This allows temporary schedule changes without modifying every future Tuesday.

How Calendar Resolution Works#

Fabritec resolves the effective calendar from the most specific available configuration.
For production scheduling, the normal resolution order is:
1. Resource-specific Work Calendar
2. Group Work Calendar
3. Shop default Work Calendar
4. Company default Work Calendar

Labour Calendar Resolution#

For a labour resource:
Labour calendar
→ Labour Group calendar
→ Shop default
→ Company default
Example:
Labour: Follow default
Labour Group: Maintenance 24/7
Shop default: Main Production
The labour uses:
Maintenance 24/7
because the Labour Group calendar is more specific than the Shop default.

Workstation Calendar Resolution#

For a workstation:
Workstation calendar
→ Workstation Group calendar
→ Shop default
→ Company default
Example:
Workstation: No direct calendar
Workstation Group: Welding Calendar
Shop default: Main Production
The workstation uses:
Welding Calendar

No Resolvable Calendar#

When no calendar can be resolved at any level, Fabritec treats the resource as non-working and surfaces a setup warning.
This prevents the system from inventing working hours where no schedule has been configured.

Follow Default and Custom Calendars#

When assigning calendars to resources, users may see options such as:
Follow default
Select a specific calendar

Follow Default#

Use Follow default when the resource should inherit changes automatically.
The effective calendar may come from:
Its group
Shop default
Company default
If the default is changed later, the resource follows the updated configuration.

Specific Calendar#

Select a specific Work Calendar when the resource should remain connected to that calendar.
Use this when:
The department has unique working days
A workstation operates a special shift pattern
Maintenance works continuously
Site labour follows a project schedule
Office staff follow different weekends
A directly assigned calendar takes priority over inherited defaults.

Relationship with Shifts#

Work Shifts define the time windows.
Work Calendars define when those shifts operate.
Example:
Shift:
Day — 08:00 to 17:00

Calendar:
Day runs Sunday through Thursday
Editing the Work Shift changes its time definition wherever the shift is reused.
Editing the Work Calendar changes the days on which the shift runs for resources using that calendar.

Relationship with Crews and Shift Rotations#

A Crew rotation determines which shift a Crew should follow.
The Work Calendar determines:
Whether the date is a working day
Whether that shift runs on the date
How many scheduled hours the shift provides
Example:
Crew rotation result: Night
Calendar for Friday: Non-working
The Crew is not scheduled on Friday merely because the rotation points to Night.

Relationship with Labour Scheduling#

The effective Work Calendar combines with the labour’s shift rules.
Fabritec normally resolves a labour’s shift using:
1. One-day cover
2. Individual dated shift
3. Active Crew rotation
4. Fixed Crew shift
5. Labour default shift
The selected shift is returned only when the effective Work Calendar runs it on that date.

Relationship with Workstations and Capacity#

Work Calendars determine a workstation’s normal planned operating schedule.
Fabritec uses the calendar to calculate:
Planned hours
Effective shifts
Staffed hours
Operator coverage
Capacity gaps
Working and non-working days
A workstation may inherit the calendar pattern or use workstation-specific shift overrides.

Relationship with Timesheets#

Work Calendars help determine the labour’s baseline scheduled hours.
Fabritec combines:
Effective Work Calendar
Resolved shift
Shift working hours
Time exceptions
Recorded production work
to calculate:
Scheduled hours
Worked hours
Idle hours
Attendance
Utilization
Overtime information
Approved timesheet days are preserved as historical snapshots and are not rewritten by later calendar changes.

Relationship with Maintenance#

Maintenance uses Work Calendars to understand when a workstation is normally expected to operate.
This helps calculate:
Working-time availability
Maintenance downtime during scheduled hours
Preventive maintenance forecasts
Capacity impact
Suggested maintenance windows
Downtime outside scheduled working hours does not reduce planned production availability in the same way as downtime during an active shift.

First Day of the Week#

The first day displayed in weekly scheduling views is configured centrally in Scheduling Setup.
It is not configured separately inside every Work Calendar.
For example, the organization may set:
First day of week: Saturday
All supported weekly scheduling views then begin on Saturday.
Changing the first day of the week affects presentation and navigation, not the calendar’s actual working-day rules.

Editing a Work Calendar#

Use the Edit action to update an existing calendar.
You may change:
Name
Description
Weekly Shift Pattern
Default assignments
Shift order
Before saving changes, consider every resource that uses or inherits the calendar.
A single calendar edit may affect future scheduling for:
Labour resources
Labour Groups
Workstations
Workstation Groups
Crews
Capacity calculations
Timesheets
Productivity reports
Maintenance planning
Approved or locked timesheet days remain based on their saved historical values.

Retiring a Work Calendar#

Retire a calendar when it is no longer intended for new scheduling use.
Before retiring it:
1.
Confirm whether it is the Company default.
2.
Confirm whether it is the Shop default.
3.
Identify Labour Groups using it.
4.
Identify workstations or groups using it.
5.
Assign replacement calendars where required.
6.
Review future schedules.
A calendar should not be retired while it is still required as an active default.
Historical information remains available after retirement.

Recommended Implementation Steps#

1. Review the Organization’s Working Arrangements#

Document the schedules used by:
Office teams
Production labour
Workstations
Maintenance teams
Site teams
Weekend operations

2. Create the Required Work Shifts#

Navigate to:
Workforce → Shifts
Create the reusable time windows.
Examples:
Day
Night
Morning
Evening
Weekend
Confirm:
Start Time
End Time
Break
Net working hours
Overnight behavior

3. Create the Company Calendar#

Create the normal office or organization-wide calendar.
Example:
Name: Office
Company default: Enabled
Shift: Day
Days: Sunday–Thursday

4. Create the Shop Calendar#

Create the normal production-floor calendar.
Example:
Name: Main Production
Shop default: Enabled
Shifts:
- Day
- Night
Days:
- Saturday–Thursday

5. Create Specialized Calendars#

Add specific calendars only where the schedule genuinely differs.
Examples:
Maintenance 24/7
Ramadan Production
Site Operations
Weekend Operations

6. Configure Holidays#

Navigate to:
Workforce → Holidays
Create:
One-time holidays
Recurring annual holidays
Calendar-specific holidays
Organization-wide holidays

7. Add Calendar Exceptions#

Use exceptions for temporary changes such as:
Factory shutdowns
Special working weekends
Replacement shifts
Emergency production days
Do not modify the recurring weekly pattern for a one-day change.

8. Assign Calendars to Groups#

Configure Work Calendars for:
Labour Groups
Workstation Groups
Use group-level calendars to avoid repeating the same assignment on every resource.

9. Assign Resource-Specific Calendars Where Required#

Use direct calendar assignments only when one labour or workstation genuinely differs from its group.

10. Verify Inheritance#

Review the displayed calendar source on Labour, Labour Group, workstation, and scheduling pages.
Confirm whether each resource uses:
A direct calendar
A group calendar
Shop default
Company default

11. Review Shift Calendars#

Navigate to:
Workforce → Shift Calendars
Confirm that:
Working days are correct
Shifts appear on the correct dates
Holidays are applied
Exceptions are visible
Crews resolve correctly
Workstations show the expected planned hours

12. Review Timesheets and Capacity#

Confirm that:
Scheduled labour hours match the calendar
Breaks are deducted correctly
Workstation planned hours are correct
Non-working days do not create capacity
Overnight shifts belong to their start date

Governance Rules#

A Work Calendar requires a unique and clear name.
At least one Weekly Shift Pattern entry should normally be configured for an operational calendar.
A weekday is working when at least one shift is assigned to it.
Multiple shifts may run on the same day.
Work Shifts must exist before they can be added to a calendar.
Removing a shift from a calendar does not delete the reusable Work Shift.
Company and Shop defaults are separate default slots.
Only one active calendar should normally occupy each default slot.
A resource-specific calendar takes priority over its group calendar.
A group calendar takes priority over Shop and Company defaults.
Shop default takes priority over Company default for production resources.
A Special Working exception overrides a holiday for the selected calendar and date.
Overnight shifts are associated with the date on which they start.
Resources with no resolvable calendar are treated as non-working and shown as setup gaps.
Calendar edits affect future computed schedules for inheriting resources.
Approved or locked timesheets remain historically unchanged.
A calendar used as an active default must be replaced before retirement.
The first day of the week is configured centrally and is display-focused.

Verify overnight shifts using the Shift Calendar
Confirm Work Calendar compatibility before assigning Crew rotations
Review planned and staffed capacity after calendar changes
Preserve approved timesheet history
Replace active defaults before retiring a calendar
Document the purpose of specialized calendars in the Description
Review default calendar assignments periodically
Use Reset Cache when recent scheduling changes are not yet reflected
