CRM Quotations

The Quotations workspace in Fabritec lets you prepare customer quotations from CRM enquiries, manage their commercial lines and document content, issue controlled revisions, and record customer decisions.
Each quotation brings together its customer and project information, bill of quantities and pricing, customer-facing document, revisions, and history.
Issuing a quotation freezes that revision and its prices and stores its PDF. Subsequent quotation changes create a new revision instead of overwriting the issued version.

Where to Find Quotations#

To browse existing quotations, navigate to:
CRM → Quotations
image.png
To create a quotation from an enquiry, navigate to:
CRM → Pipeline → Open an enquiry → Quotation
image.png
The related setup pages are:
PageLocationPurpose
Quotation templatesCRM → Quotation templatesManage the templates and reusable content used to prepare quotation documents.
Quotation settingsCRM → Settings → Quotation settingsConfigure review requirements, default templates, validity, revision labels, and enquiry behavior on first issue.
NumberingCRM → Settings → NumberingConfigure quotation numbering when a separate quotation number sequence is required.
The quotations and actions available to you depend on your access permissions, the revision’s status, and your company’s quotation settings.

Understand Enquiries, Quotations, and Revisions#

An enquiry tracks the sales opportunity. A quotation is the customer offer prepared for that enquiry. A revision identifies a particular version of the quotation.
ItemWhat it represents
EnquiryThe opportunity, including its customer, project information, commercial estimates, probability, and expected award timing.
Commercial linesThe quantities, units, selling prices, costs, and scopes of work used to prepare the offer.
QuotationThe customer-facing offer, with a quotation number, document language, validity date, and revision history.
RevisionA version of the quotation, such as R01 or R02, with its own status and commercial amounts.
TemplateThe starting structure, content, formatting, and document language copied into a new quotation.
Before a quotation is created, the enquiry’s commercial lines can be changed without quotation revisions. After creation, the quotation workspace manages the document and its revision-based pricing.
Important: An enquiry status such as Quoted does not, by itself, confirm that a quotation document has been created or issued. Check the enquiry’s Quotation tab and the quotation revision’s status.

Browse and Follow Up on Quotations#

Open CRM → Quotations to find and follow up on the quotations you can access.
image.png

Quick Views#

The quick views at the top help you focus on the relevant records.
ViewPurpose
AllBrowse all quotations available to you.
My quotationsFocus on quotations associated with you as the owner.
Awaiting decisionFind quotations awaiting a customer decision.
Expiring soonIdentify quotations approaching their validity date.
The count beside each view shows the number of matching quotations.

Search, Filter, and Change the View#

Use the search field to search by quotation number, customer, project, or enquiry.
Select Filter to narrow the results using the available criteria. Switch between List and Kanban to review quotations in a table or board view.
In List view, click a quotation number to open its workspace.

Quotations Table#

ColumnDescription
QuotationThe quotation number and link to its workspace.
RevisionThe revision displayed for the quotation.
StatusThe quotation revision’s status, such as Draft or Issued.
CustomerThe customer receiving the offer.
ProjectThe project information associated with the enquiry.
OwnerThe responsible sales owner.
NetThe displayed net quotation amount.
Valid untilThe validity date, with a remaining-time indicator where applicable.
UpdatedThe record’s latest update information.

Table Tools#

The table provides Excel export, PDF export, CSV export, and Refresh.
Use Columns to control the visible columns. Reset cache is also available for resetting the table’s saved configuration.
Note: A PDF export from the quotations table is a report of quotation records. To obtain an issued customer quotation document, open the quotation and use Download PDF.

Create a Quotation from an Enquiry#

Before creating the quotation, review the enquiry’s customer, contact, project information, commercial lines, and currency. Choose a template appropriate for the customer’s required document language.

Create the Initial Draft#

1.
Open CRM → Pipeline and select the enquiry.
2.
Open the Quotation tab.
3.
Click Create quotation.
4.
Select the Template, confirm the Document language, and enter Valid until.
5.
Click Create quotation to create the quotation and its initial draft revision.
image.png

Creation Fields#

FieldDescription
Template*The template used to create the quotation document.
Document languageThe language supplied by the selected template. Review it before creating the quotation.
Valid until*The last day of the quotation’s validity, interpreted in the company’s time zone.
Fields marked with an asterisk are required.

What the Template Copies#

The quotation copies the template’s sections, header, footer, styles, and document language.
Later changes to the source template do not change the quotation that has already been created.
The template selector can contain English, Arabic, and English–Arabic variants. Confirm the displayed Document language rather than relying only on the template’s name.
Important: The quotation keeps its document language across all revisions. Choose the correct-language template when creating the quotation.

Quotation Number and Initial Revision#

The quotation number is assigned when the quotation is created.
By default, a quotation uses its enquiry’s number. A separate quotation number sequence can be configured in Numbering.
The initial revision follows the configured revision-label format, such as R01, and starts as Draft.
Even when the quotation and enquiry display the same number, they remain separate records.

Understand the Quotation Workspace#

The quotation header identifies the quotation number, revision, status, customer, and associated project.
image.png
The workspace contains five tabs:
TabPurpose
DetailsReview quotation information, validity, customer and project details, totals, and a document summary.
DocumentPrepare the customer-facing document, manage sections, inspect variables, and review formatting.
BOQ & pricingManage the bill of quantities, prices, costs, discounts, charges, and taxes.
RevisionsReview quotation versions, compare two revisions, and select a revision for forecasting.
HistoryReview recorded quotation changes and events, newest first.
The header actions change with the revision’s status.
A draft can show Issue, Open enquiry, and Preview. After issue, actions can include Record acceptance, Record decline, Withdraw, and Download PDF.

Review the Details Tab#

The Details tab provides a summary of the current revision.
image.png

Quotation Information#

The Quotation card displays the quotation number, revision and status, currency, Quotation sent date, Valid until date, document language, and creation information.
Use Change beside Valid until to update the validity through the available quotation workflow.

Customer and Project#

The Customer and project card displays information from the enquiry, including the customer, contact, project name, location, sales owner, and enquiry or tender number.
Use Open enquiry to review the underlying opportunity.

Totals#

The Totals card summarizes the current revision’s amounts, including the subtotal, net amount, grand total, internal cost, and gross profit percentage.
Click Open BOQ & pricing to work on the commercial values.

Document Summary#

The Document card summarizes the document’s structure, including its section count, pricing-table inclusion, section title style, and document language.
Click Open document to open the document workspace.
Note: The Quotation sent date is not necessarily the same as a revision’s issue timestamp. Issuing fills the quotation sent date only when that field is empty; it does not replace an existing date.

Prepare the Quotation Document#

Open the Document tab to work on the customer-facing offer.
image.png
The workspace combines a document editor with a left-hand panel containing Sections and Variables.

Edit Document Content and Formatting#

Work on an editable draft to review and adjust the document’s wording and presentation.
The editor provides controls for text formatting, paragraph layout, styles, headers and footers, inserted content, page layout, and tables. Additional table controls appear when working with a table.
Review the document’s content as well as its appearance. A suitable layout does not guarantee that the template’s wording matches the enquiry’s scope.
For example, an aluminum quotation should not retain unrelated structural-steel scope wording simply because it was included in the starting template.

Work with Sections#

The Sections panel shows the document’s ordered content sections.
The illustrated standard template contains:
SectionContent to review
Cover letterThe introduction, enquiry reference, and offer summary.
Scope of workThe work included in the offer.
PricingThe quotation’s pricing table and related commercial wording.
Payment termsThe proposed payment arrangements.
DeliveryDelivery commitments, assumptions, and conditions.
ValidityThe period during which the offer remains valid.
ExclusionsWork, materials, or services excluded from the offer.
Terms and conditionsThe conditions governing the offer.
AcceptanceCustomer-facing acceptance wording.
The sections in your quotation depend on its template and subsequent edits.
Select a section to work with its content or settings. Use the section’s drag handle to adjust its position in the section order.
Important: An Acceptance section is document content. It does not record the customer’s decision in Fabritec. Use Record acceptance after receiving the customer’s acceptance.

Add a Section#

Click Add section and choose:
OptionUse
Blank sectionAdd a new section for quotation-specific content.
From library…Add reusable content from the section library.
Review the inserted content and its position before issuing the quotation.

Configure Section Settings#

Select the relevant section and open Section settings.
SettingBehavior
TitleThe section title. It is required while the title is shown and supports up to 200 characters.
Show the title in the documentControls whether the title is printed. Turning it off hides the printed title and excludes it from title numbering, while keeping the section’s name in the Sections panel.
Start on a new pagePlaces the section at the top of a new page.
Use the document’s title styleMakes the section follow the document-wide title style. Later changes to that style also affect the section.
Own title styleGives the section its own title style instead of inheriting the document-wide style.
Click Save section to apply the settings.

Review Variables#

Variables are placeholders that connect document content to quotation, customer, company, project, and pricing information.
Open Variables to search for a variable and review its placeholder, current value, and any Required indicator.
Examples visible in the quotation document include:
VariableInformation represented
{{company.name}}Company name.
{{company.address}}Company address.
{{company.city}}Company city.
{{quote.number}}Quotation number.
{{quote.revision}}Quotation revision label.
{{quote.date}}Quotation date.
{{quote.validUntil}}Quotation validity date.
{{customer.name}}Customer name.
{{customer.contact}}Customer contact name.
{{project.name}}Project name.
{{enquiry.number}}Enquiry reference.
{{seller.name}}Responsible seller’s name.
{{pricing.currency}}Pricing currency.
The Variables panel also includes customer and contact information such as customer code, contact job title, email, and phone.
A variable displaying No value yet has no available value. Check the relevant source information and review the document before issuing.
Required variables must have values before issue. Missing optional information still deserves review when the document uses it.
Keep variable names and their double braces intact. Changing a placeholder’s spelling can prevent it from representing the intended information.

Keep the Pricing Table Connected#

The Pricing table indicator identifies the section containing the quotation’s pricing table. A Settings control is available beside it.
Manage commercial values in BOQ & pricing. Changes there update the document’s pricing table.
Do not rely on manually typed prices or totals in document text as a substitute for the commercial lines. Separately typed amounts can become inconsistent with the calculated quotation values.

Check Saving and Preview#

Check the document’s save indicator before leaving the page or issuing. Confirm that it shows All changes saved.
Use Preview to inspect the customer-facing result, including variable values, section order, page breaks, headers, footers, and the pricing table.
An issued document is protected and can display Read-only. Further quotation changes are handled through a new revision.

Manage BOQ & Pricing#

The BOQ & pricing tab manages the quotation’s bill of quantities and commercial calculations.
image.png
The page identifies the revision receiving the changes and explains that those changes update the document’s pricing table.

Commercial Lines#

The Commercial lines grid provides fields such as:
FieldDescription
DescriptionThe description of the offered work, product, or service.
Scope Of WorkThe scope associated with the line.
QtyThe quoted quantity.
UnitThe unit of measure, such as square meters.
Unit priceThe selling price per unit.
Unit costThe internal estimated cost per unit.
DiscountThe discount information associated with the line.
Own tax ratesTax rates assigned specifically to the line, where used.
Line totalThe calculated line amount.
Use the horizontal scrollbar to inspect columns that are outside the visible area.

Add, Edit, or Delete Lines#

1.
Click Add to create a line, or edit the relevant fields in an existing line.
2.
Use Update to apply pending grid edits, or Cancel to cancel them.
3.
To remove lines, select their checkboxes and click Delete.
4.
Review the totals, use Save Changes when enabled, and confirm All changes saved.
Use Discard changes when you need to abandon pending page-level pricing changes.
Important: Check both the grid controls and the page’s save status. Do not assume that leaving an edited cell means all quotation changes have been saved.

Add a Quotation-Wide Discount, Charge, or Tax#

The Discounts, charges and taxes section applies adjustments to the whole quotation in the displayed order.
image.png
1.
Click Add discount, charge or tax.
2.
Select Discount, Charge, or Tax.
3.
Enter the required Label.
4.
Choose Percent or Fixed amount, then enter the required Value.
5.
Click Add discount, charge or tax, review the totals, and save the pricing changes.
FieldDescription
TypeDetermines whether the adjustment is a discount, charge, or tax.
Label*The name identifying the adjustment. Use wording that clearly explains its purpose.
CalculationChooses a percentage or fixed monetary amount.
Value*The percentage or monetary value, according to the selected calculation method.
Review the displayed adjustment order and calculated results rather than assuming that every percentage uses the same calculation base.
Also check line-level discounts and tax rates so that the same adjustment is not unintentionally applied twice.

Review Live Totals#

The Live totals panel updates as the commercial lines change.
TotalMeaning
SubtotalThe combined commercial-line amount before quotation-wide adjustments.
Net amountThe calculated net quotation value for the current revision.
Grand totalThe final quotation amount, reflecting the applicable adjustments and taxes.
Internal costThe internal estimated cost represented by the quotation’s cost information.
Gross profitThe estimated gross profit calculated from the commercial values and internal cost.
Gross profit %The gross-profit percentage for the current revision.
Estimated tonnageThe estimated weight shown in tonnes.
Check the currency displayed in the totals panel before reviewing or sharing monetary values.
Best practice: Review the customer document in Preview. Do not assume that the internal pricing workspace and the customer-facing document show the same information, particularly for costs and margin.

Manage Quotation Validity#

The Valid until date defines the quotation’s validity through the end of that day in the company’s time zone.
It is separate from the enquiry’s Expected award date, which concerns the anticipated timing of the sales decision.
To change the validity, open Details, click Change beside Valid until, and complete the available change workflow. Review the updated date and the document afterward.
For an issued quotation, respect the revision workflow. Do not treat a changed working value as an update to the already stored issued PDF.
If acceptance is recorded after the validity period, Fabritec records it as a late acceptance.

Review and Issue the Quotation#

Issuing turns the working quotation revision into a controlled issued version.
image.png

Review Requirements#

Your company can require approval before a quotation is issued.
ConfigurationWorkflow
Require review before issue: OffDraft → Issued
Require review before issue: OnDraft → In review → Approved → Issued
When review is required, arrange for the revision to be reviewed and approved before issue.
The Allow self-approval setting determines whether the person who submitted the revision can also approve it. When self-approval is off, the submitter cannot approve that revision.

Check the Quotation Before Issue#

Review the customer and project details, scope, commercial lines, totals, validity, and customer-facing Preview. Confirm that all intended changes have been saved.
Click Issue to open the Issue the quotation dialog.
The dialog checks or displays:
CheckWhat to confirm
Required variablesEvery required variable has a value.
Quotation linesThe quotation contains commercial lines.
Pricing tableThe pricing table is included in the document.
ValidityThe displayed validity date is correct for the offer.
Resolve any issues identified in the dialog before continuing.

Confirm Issue#

1.
Check the quotation number and revision shown in the issue dialog.
2.
Review the pre-issue checks and displayed validity date.
3.
Click Issue.
4.
Confirm the success message and issue timestamp.
Issuing stores the quotation PDF, freezes the revision and its prices, and makes the forecast use that revision.
It also sets the Quotation sent date when that field is empty. On the first issue, the linked enquiry’s status can change according to Status on first issue in Quotation settings.

Download the Issued PDF#

After successful issue, use Download PDF in the confirmation dialog or the quotation header to obtain the issued document.
image.png
Use the stored PDF when sharing or referring to that issued revision.
Important: Treat Issued as the quotation’s controlled issue status, not as a customer delivery receipt. Confirm customer communication through your company’s agreed process.

Manage Revisions, Forecast Selection, and History#

Changes After Issue#

An issued quotation displays a message explaining that the next change creates the next revision from it.
image.png
For example, after R01 is issued, the next quotation change creates R02 rather than changing the frozen R01 revision.
Use the available quotation editing workflow to make the required changes, then verify the revision label, content, pricing, and validity before issuing again.
Example: A customer requests a price adjustment after receiving R01. Make the adjustment through the quotation workflow, review the resulting revision, and issue the revised offer. The stored R01 PDF remains the record of the earlier issued offer.

Revisions Table#

Open Revisions to review the quotation’s versions.
ColumnDescription
RevisionThe revision label.
Quotation statusThe status of that revision.
IssuedIts issue information, where applicable.
Valid untilThe revision’s validity date.
Net amountThe revision’s net amount.
Grand totalThe revision’s final quotation amount.
ForecastIndicates forecast selection.
ActionsAvailable revision actions, including Use in forecast where available.
Issued revisions retain their PDFs.

Compare Two Revisions#

Select the checkboxes beside two revisions, then click Compare selected.
Review the comparison before approving or issuing a revised offer. The comparison requires two revisions; it is not available when only one revision exists.

Choose the Revision Used in Forecasting#

Use Use in forecast beside the intended revision to select it for forecasting.
Check the Forecast column so that you know which revision is being used. Issuing a revision also makes the forecast use that revision.
Selecting a revision for forecasting is not the same action as issuing it or recording customer acceptance.

Review History#

Open History to review recorded quotation changes and events, newest first.
Entries identify the event and can include the revision, user, and timestamp. For example, the creation entry identifies the initial revision and the person who created the quotation.
Use Revisions to review quotation versions and amounts. Use History to review when recorded events occurred and who performed them.
The enquiry’s Forecast history is a separate area, accessible through Open enquiry.

Record the Customer’s Decision or Withdraw an Offer#

An issued quotation provides actions for recording the customer’s response or withdrawing the offer.
ActionWhen to use it
Record acceptanceAfter receiving the customer’s acceptance of the quotation.
Record declineAfter receiving the customer’s decision not to accept the offer.
WithdrawWhen your company needs to withdraw the offer.
Open the correct quotation and verify its revision before selecting an action. Complete the information requested by the resulting dialog and review the record afterward.
For acceptance, check the validity date. Acceptance after the validity period is recorded as late acceptance.
Important: Keep the quotation decision and the enquiry’s sales status distinct. Use Open enquiry to check the linked opportunity’s status rather than assuming that recording a quotation response has completed every sales follow-up action.

Other Actions#

The quotation’s More actions menu can include Edit enquiry and Delete quotation.
Edit enquiry concerns the linked opportunity; it is not a way to overwrite an issued quotation revision.
Do not use Delete quotation to record a customer decline or an offer withdrawal. Use the corresponding lifecycle action. Review any deletion confirmation and your company’s record-retention requirements before proceeding.

Work with Quotation Templates#

The Quotation templates page lets you prepare reusable document layouts and content for customer quotations.
image.png
A template provides the starting structure for a quotation, including its sections, header, footer, document language, and formatting. Use templates to maintain consistent presentation and standard wording while allowing each quotation to be reviewed for its customer and scope.
You can build a template from library content, copy an existing template, use an existing quotation as a starting point, or import a Word document.

Where to Find Quotation Templates#

Navigate to:
CRM → Quotation templates
The page contains two tabs:
TabPurpose
TemplatesBrowse quotation templates and review their language, publication status, version, last-published date, and quotation usage.
LibraryAccess reusable content used when assembling templates and quotation documents, including sections, headers, and footers.
Use the search field to find a template by name. Review its language and publication information before choosing it as the starting point for a new template or quotation.
Important: A template is a reusable document starting point. Creating a template does not create or issue a customer quotation.

Start a New Template#

Click New template to open the creation wizard.
image.png
The wizard adapts to the starting option you select. The Blank workflow contains five steps:
Name and tag → Start from → Sections → Header & footer → Style
The A Word file workflow contains two steps:
Name and tag → Start from
Follow the step indicators displayed in the wizard rather than expecting every starting option to use the same sequence.

Step 1: Name and Tag#

Enter the information used to identify the template.
FieldDescription
Template nameThe name that helps users identify the template. Choose wording that clearly describes its purpose and language.
Scope tag (optional)An optional label for identifying the template’s intended scope.
For example, you could name a template Steel Fabrication — Standard Offer — English and use Steel Fabrication as its scope tag.
Click Next to choose the starting point.
Best practice: Use names that distinguish the document’s purpose and language. Avoid names such as “Template 1” that do not help a salesperson choose the correct document.

Step 2: Choose the Starting Point#

The Start from step provides four options.
image.png
OptionWhat it usesWhen to choose it
BlankLibrary sections arranged in the required order, optional library headers and footers, and a style preset. When you want to assemble a template without copying a complete existing document.
Another templateThe latest published version of an existing template. When an existing template already provides a suitable structure and wording.
A quotationThe latest revision of a quotation you can access, including its typed text. When a previous offer contains useful content that you want to adapt into a reusable template.
A Word fileAn uploaded .docx document, including its styles, page setup, header, and footer. When your company already maintains its quotation format in Word.
Select the appropriate card and complete the source information requested by the wizard.
Use Back to return to the previous step when you need to review an earlier choice.

Choose the Document Language#

Review Document language before continuing.
For the Blank workflow, the selected language is used when presenting library sections, headers, and footers in the following steps.
Check the language labels and the actual content of the items you select. A library item can have a bilingual name while displaying English as its language label.
For imported or copied content, also review the wording itself. Do not rely on the language selection alone to confirm that every paragraph is written in the intended language.
Important: Quotations created from the template use its document language and keep that language across their revisions. Choose the correct language before using the template to create customer quotations.

Complete the Blank Template Workflow#

Select Blank, choose the Document language, and click Next.
image.png
Continue through Sections, Header & footer, and Style to assemble the template.

Step 3: Add and Order Sections#

The Sections step lets you choose reusable content from the library and arrange it in the order it should appear in the document.
The screen contains two areas:
AreaDescription
Your libraryAvailable library sections in the chosen language. Each entry displays its name, language label, a content preview, and an Add button.
In the template, in this orderThe sections selected for the template, arranged in their intended printing order.
To build the section structure:
1.
Review the available sections under Your library.
2.
Click Add beside each section you want to include.
3.
Use Add all when you intend to include all the available sections, then review the selection carefully.
4.
Arrange the selected sections in the order they should print.
5.
Click Next.
Each selected section is copied into the template and can be changed there.
A typical quotation structure could include a cover letter, scope of work, pricing, payment terms, delivery, validity, exclusions, terms and conditions, and acceptance wording. Choose the sections appropriate to the offer rather than adding every available item.
Note: You can continue without selecting library sections. In that case, the template starts with one empty section. You will need to add the required document content afterward.
Best practice: Review similar entries before adding them. The library can contain both single-language and bilingual variants, such as Cover letter and Cover letter / خطاب التغطية.

Step 4: Select a Header and Footer#

The Header & footer step lets you start with reusable header and footer content from the library in the chosen language.
image.png
The selections are independent: you can choose a header and a footer, use only one, or leave both empty.
SelectionResult
No headerThe header starts empty.
A library headerThe template starts with the selected header content.
No footerThe footer starts empty.
A library footerThe template starts with the selected footer content.
Review the name, language label, and content preview of each entry. The library can include variants such as Classic — Header, Executive — Header, and their corresponding footers.
To continue:
1.
Select the required item in the Header column, or keep No header.
2.
Select the required item in the Footer column, or keep No footer.
3.
Click Next.
Headers and footers can contain company variables, such as company name, address, contact information, and registration details. Review these values when preparing the resulting quotation.
You can change the header and footer later through the editor ribbon’s Header and footer tab.
Note: Selecting No header or No footer leaves that area empty at creation. It does not prevent you from adding content later.

Step 5: Choose a Style#

The Style step provides presets for the template’s fonts, colors, section titles, and generated tables.
image.png
PresetPresentation
ClassicSerif text, plain titles, and graphite grid tables.
ModernClean sans-serif text, navy titles, and banded tables.
CompactSmaller text and tighter spacing for long quotations.
FormalSerif text with italic titles and a line above the titles.
Select the preset that matches your company’s preferred document presentation, then click Create template.
The preset can be changed later on the Styles tab.
Important: A style preset controls presentation. It does not replace reviewing the wording, section order, variables, or pricing-table setup.

Create a Template from Another Template#

Choose Another template when an existing template already contains most of the structure and content you need.
This option copies the source template’s latest published version.
After entering the new template’s name and optional scope tag:
1.
Select Another template in Start from.
2.
Choose the source template from the available choices.
3.
Review the source and language information presented by the wizard.
4.
Complete the remaining prompts shown to create the new template.
Review the copied content and adapt it for the new template’s purpose.
For example, you could use a standard fabrication-offer template as the starting point for a separate supply-only offer, then review its scope, delivery wording, and exclusions.
Important: The source is the latest published version. Do not assume that unpublished edits to the source template are included in the copy.

Create a Template from a Quotation#

Choose A quotation to use an existing customer offer as the starting point for a reusable template.
This option copies the latest revision of a quotation you can access, including its typed text.
After entering the new template’s name and optional scope tag:
1.
Select A quotation in Start from.
2.
Choose the source quotation from the available choices.
3.
Review the source and language information presented by the wizard.
4.
Complete the remaining prompts shown to create the template.
Review the resulting document carefully before reusing it.
A quotation can contain customer-specific names, project references, negotiated payment terms, delivery commitments, exclusions, dates, and manually typed amounts. These details should not become standard wording unintentionally.
Replace quotation-specific text with suitable reusable wording or supported Fabritec variables where appropriate.
Important: Copying a quotation includes its typed text. Do not assume that customer-specific wording is automatically removed or converted into variables.

Create a Template from a Word File#

Choose A Word file when you want to start from an existing Word quotation document.
image.png
The supported file format shown in the wizard is .docx.
This option uses the uploaded document as the starting point, including its styles, page setup, header, and footer.

Import the Word Document#

After completing Name and tag:
1.
Select A Word file in Start from.
2.
Under Word file (.docx), click Choose File and select the document.
3.
Review the selected filename and choose the Document language.
4.
Click Create template.
For this option, the wizard changes to Step 2 of 2. The separate Sections, Header & footer, and Style steps are not part of the Word-file creation sequence.

Review the Imported Template#

After creation, inspect the document’s content and layout before using it for a customer quotation.
Check page breaks, tables, headers, footers, section wording, and any customer-specific information inherited from the file.
Also review how changing information is represented. A customer name, quotation number, or amount typed into a Word document should not be assumed to have become a Fabritec variable.
Similarly, check that the quotation uses Fabritec’s pricing table where required rather than relying on a separately typed Word pricing table.
Best practice: Import a reusable company quotation document rather than a completed customer offer. This reduces the amount of customer-specific content that needs to be removed or replaced.

Review the Template Before Use#

Regardless of the starting option, review the resulting template before using it to prepare customer quotations.
AreaWhat to check
Name and scopeThe template is clearly identifiable and appropriate for the intended work.
Document languageThe selected language and actual document content match the intended customer document.
SectionsRequired content is present, correctly ordered, and free from unintended duplicates or empty sections.
Header and footerCompany details and variables are appropriate and correctly positioned.
Styles and layoutText, headings, tables, spacing, and page breaks remain readable.
VariablesInformation that changes between quotations uses the intended variables where appropriate.
Pricing tableThe document is prepared to display the quotation’s commercial information correctly.
Copied or imported wordingPrevious customer names, project references, dates, and negotiated terms have been reviewed.
Return to the Templates list to review the template’s publication status, version, and last-published information. Confirm that the intended template is available in the Create quotation selector before relying on it for customer offers.

Use the Template in a Quotation#

To use a template:
1.
Open CRM → Pipeline and select the enquiry.
2.
Open the Quotation tab and click Create quotation.
3.
Select the intended Template.
4.
Confirm the Document language and Valid until date.
5.
Click Create quotation.
The quotation copies the template’s sections, header, footer, styles, and document language.
To control which template is preselected for new quotations, review Default template under:
CRM → Settings → Quotation settings
Important: Later changes to a template do not update quotations already created from it. To change an existing quotation, work in that quotation and follow its revision workflow.

Configure Quotation Settings#

Navigate to:
CRM → Settings → Quotation settings

Review Settings#

SettingBehavior
Require review before issueWhen enabled, a draft must be reviewed and approved before issue. This adds In review and Approved to the workflow.
Allow self-approvalAvailable with review enabled. When off, the person who submitted a revision cannot approve it.

New Quotation Defaults#

These settings provide defaults for quotations and revisions created afterward.
SettingBehavior
Default templateDetermines the template preselected in Create quotation. An empty selection uses the built-in template in the user’s interface language.
Default validity (days)Sets the default validity period from the quotation’s creation date. The supported range is 1 to 365 days.
Revision label formatDetermines how new revisions are named, such as R01, R02, R10. Existing revision labels do not change.
Always review the proposed template and validity date when creating an individual quotation.

Enquiry and Numbering#

Status on first issue determines how the enquiry’s status is handled when its quotation is first issued. Selecting Don’t change the status leaves the enquiry status unchanged by that setting.
By default, a quotation uses its enquiry’s number. To give quotations their own number sequence, configure it in CRM → Settings → Numbering.
Do not change printed quotation-number text as a substitute for configuring the record’s numbering.

Troubleshooting and Common Questions#

SituationWhat to check
The enquiry shows Quoted, but its Quotation tab says No quotation yet.The enquiry’s pipeline status is separate from quotation document creation. Use Create quotation to create the document record.
The document is read-only.Check the revision’s status. Issued revisions are protected; subsequent quotation changes use a new revision. Also check your access permissions.
The quotation cannot be issued.Review required variables, commercial lines, pricing-table inclusion, and the validity information. Check approval requirements and your available permissions.
A variable shows No value yet.Review the relevant source information. Required variables need values before issue. Inspect the use of optional variables so that the customer document is not incomplete.
Editing the template did not update the quotation.Existing quotations retain their copied template content. Review the quotation itself and use its revision workflow for changes.
The quotation has the wrong document language. The language comes from the selected template and remains across revisions. Select the appropriate language template when creating the quotation.
Pricing edits are not reflected as expected.Check pending grid edits, Update, and Save Changes. Confirm All changes saved, then review the current revision and Preview.
Compare selected is unavailable.Select exactly two revisions. A quotation with only one revision has no second revision to compare.
The quotation sent date differs from the issue timestamp.Issuing fills the quotation sent date only when it is empty. An existing date is retained. Check revision issue information for the specific issue event.
The forecast uses a different revision from the one being reviewed.Inspect the Forecast column in Revisions. Use Use in forecast for the intended revision where the action is available.

Best Practices#

Confirm the source information first. Check the customer, contact, project, scope, currency, and document language before creating the quotation.
Keep pricing in BOQ & pricing. Review quantities, units, costs, adjustments, and totals there rather than maintaining separate manually typed amounts in the document.
Preview before every issue. Check variable values, scope wording, exclusions, validity, section layout, pricing-table inclusion, and any unintended disclosure of internal information.
Preserve revision discipline. Share the correct issued PDF, use new revisions for changes, and record customer decisions against the correct quotation revision.
Keep follow-up records aligned. Review the selected forecast revision, quotation validity, and linked enquiry status as the opportunity progresses.
