Planning Calendar

The Maintenance Planning Calendar provides a date-based workspace for reviewing, scheduling, and coordinating maintenance activities across Fabritec workstations.

It brings together:
Scheduled preventive maintenance
Reported breakdowns
Corrective maintenance
Inspection orders
Preventive maintenance forecasts
Workstation shift windows
Unscheduled preventive orders
Suggested non-working periods
Alternative workstation cover candidates
Instead of reviewing maintenance dates through separate spreadsheets, production calendars, and technician lists, the Planning Calendar allows maintenance and production teams to understand:
Which maintenance activities are scheduled
Which workstations may be affected
When preventive maintenance is forecast to become due
Which preventive orders still require scheduling
Whether maintenance overlaps with production shifts
Which non-working periods may be suitable for maintenance
Whether another workstation may be able to cover the affected work
Which activities may conflict with each other
Which maintenance orders require immediate planning attention
The Planning Calendar displays real maintenance orders separately from forecasted maintenance requirements.
This allows users to distinguish between:
Work that has already been created and scheduled
Preventive orders that exist but have not yet been scheduled
Future maintenance requirements that are only forecasts

Navigate to:
Maintenance → Planning Calendar
The Maintenance menu also provides access to:
Workstations
Orders
Plans
The information and actions available depend on the logged-in user’s maintenance permissions.
For example:
Users with maintenance viewing permission can review calendar events.
Users with plan visibility can review maintenance forecasts.
Users with maintenance-management permission can schedule preventive orders and update maintenance work.
Users without management permission may see the calendar without the Schedule Order action.

Planning Calendar Page#

The Planning Calendar page is divided into three main areas:
Calendar controls and key
Maintenance calendar
Maintenance planning panel
The calendar provides the date-based view.
The planning panel helps users review unscheduled preventive orders and supporting scheduling information.

Shown Period#

The Shown period displays the complete date range currently loaded in the calendar.
For example:
Jun 28, 2026 – Aug 1, 2026
In Month view, the shown period may include dates from the previous or following month so that complete calendar weeks remain visible.
The shown period changes when users:
Move to the previous period
Move to the next period
Select another month
Change between Day, Week, Month, or Agenda view
Select Today
Calendar events and right-side planning information follow the displayed period.

Calendar Key#

The Calendar key identifies the maintenance event types displayed on the calendar.
The available event types include:
Preventive
Breakdown
Corrective
Inspection
Maintenance Forecast
Shift Windows
Each event type uses its own visual indicator.
The indicator allows users to understand the type of maintenance activity without opening the event.
The visual treatment should be used together with the event label.
Users should not rely on color alone when reviewing the calendar.

Calendar Event Types#

Preventive#

A Preventive calendar event represents an actual preventive maintenance order.
Preventive orders are connected to active maintenance plans assigned to the selected workstation.
Examples include:
500-hour lubrication service
Monthly equipment inspection
10,000-item tooling check
Quarterly electrical maintenance
Annual calibration
A Preventive event may appear after the maintenance order has been scheduled using a valid start and end.
The event represents real maintenance work that must move through the maintenance-order lifecycle.

Breakdown#

A Breakdown event represents an unplanned workstation failure reported through the dedicated Report Breakdown workflow.
Examples include:
Motor failure
Electrical fault
Hydraulic leak
Sensor failure
Complete machine stoppage
Serious reduced-output condition
Breakdown orders can affect workstation availability through:
No Stop
Reduced Output
Full Stop
A Full Stop breakdown removes the affected workstation’s overlapping scheduled capacity.
The event affects only the selected workstation, even when several workstations share the same production calendar.

Corrective#

A Corrective event represents planned repair work for a known workstation defect.
Examples include:
Replacing a worn bearing
Repairing a hydraulic leak
Correcting alignment
Replacing a damaged guard
Repairing a faulty sensor
Corrective orders are standalone maintenance orders.
They are not connected to preventive maintenance plans and do not reset preventive-plan baselines when completed.

Inspection#

An Inspection event represents planned condition, safety, quality, or calibration verification.
Examples include:
Electrical safety inspection
Mechanical condition inspection
Vibration check
Calibration verification
Post-repair inspection
Guarding inspection
Inspection orders are not connected to preventive maintenance plans unless the inspection itself is defined as a recurring preventive service.

Maintenance Forecast#

A Maintenance Forecast is a predicted future maintenance requirement.
It is not a scheduled maintenance order.
Forecast events are displayed separately from actual maintenance orders, normally using a visually distinct or dashed style.
Forecasts help users understand when a maintenance plan is expected to become due.
They can be calculated using:
Last Service Date
Time Interval
Current Usage Hours
Current Usage Items
Recent workstation usage
Future working days
A forecast can change when:
Additional production usage is recorded
Production usage slows down
The workstation calendar changes
The maintenance plan changes
The related preventive order is completed
A new service baseline is established
A forecast should be treated as planning guidance rather than a fixed maintenance appointment.

Shift Windows#

Shift Windows show when the workstation is planned to operate according to its resolved production schedule.
Shift windows can help maintenance planners identify:
Active production periods
Non-working periods
Overnight shifts
Shift boundaries
Possible maintenance conflicts
Periods with lower production impact
Shift windows are displayed only when the Show shift windows option is enabled.

Forecasts and Maintenance Orders#

A Maintenance Forecast and a Maintenance Order are different records.

Maintenance Forecast#

A forecast answers:
When is this preventive service expected to become due?
A forecast:
Is calculated from the maintenance plan
May move as workstation usage changes
Does not confirm that maintenance has been approved
Does not assign a technician
Does not reserve a maintenance window
Does not start downtime
Is not worked through the order lifecycle

Maintenance Order#

A maintenance order answers:
What maintenance work must now be reviewed, scheduled, executed, and completed?
A maintenance order:
Has an order number
Applies to one workstation
Has a Type, Priority, Status, and Impact
Can contain a checklist and parts
Can be assigned to a maintenance user
Can be scheduled
Can enter In Progress
Can create a downtime or capacity-reduction window
Must be completed or cancelled through the order lifecycle

Forecast Suppression#

Fabritec avoids displaying a forecast as though it were a second maintenance requirement when an actual open order already represents the same plan and workstation.
The real maintenance order becomes the actionable record.
Other forecast events may continue to appear for:
Other workstations
Other maintenance plans
Maintenance requirements that have not yet created an order

Calendar Navigation#

Previous and Next#

Use the left and right arrow controls to move through calendar periods.
The amount moved depends on the active view.
For example:
Day view moves by day.
Week view moves by week.
Month view moves by month.
After navigation, Fabritec reloads:
Calendar events
Maintenance forecasts
Unscheduled preventive orders
Shift windows
Supporting planning information

Period Selector#

Use the month or date selector to move directly to another calendar period.
For example:
July 2026
Selecting another period updates the calendar and the Shown Period information.

Today#

Click Today to return the calendar to the period containing the current company-local date.
Use Today after reviewing historical or future maintenance periods.

Calendar Views#

The available calendar views are:
Day
Week
Month
Agenda
Each view presents the same maintenance data for a different planning purpose.

Day View#

The Day view provides a detailed view of maintenance activity for one day.
Use it to:
Review exact maintenance timing
Coordinate technician work
Compare maintenance with shift hours
Identify overlapping orders
Confirm when a workstation should be released
Review short maintenance windows
Day view is useful for daily execution and shift handover.

Week View#

The Week view displays maintenance activity across one week.
Use it to:
Coordinate the weekly maintenance workload
Balance technician assignments
Review several workstation shutdowns
Compare preventive and corrective work
Identify schedule congestion
Plan maintenance around production commitments
Week view is useful during weekly maintenance and production meetings.

Month View#

The Month view provides a broader view of maintenance activity.
Use it to:
Review preventive-maintenance distribution
Identify heavily loaded maintenance weeks
Compare scheduled orders with future forecasts
Review overdue unscheduled work
Prepare monthly shutdown planning
Understand the broader maintenance workload
Month view may display dates from adjacent months so that complete calendar weeks remain visible.

Agenda View#

The Agenda view presents maintenance events as a chronological list.
Use it to:
Review upcoming maintenance in sequence
Scan order dates without navigating calendar cells
Review events across a longer range
Prepare maintenance meeting agendas
Confirm upcoming work by date and time
The exact fields displayed in Agenda view depend on the available event information.

Show Shift Windows#

Enable Show shift windows to display workstation production periods on the maintenance calendar.
Shift windows help answer:
Is the workstation expected to be working at this time?
Does the proposed maintenance overlap with production?
Is the maintenance scheduled before or after an active shift?
Does an overnight shift continue into the next day?
Is there a lower-impact maintenance period available?
To use shift windows:
1.
Open Maintenance → Planning Calendar.
2.
Enable Show shift windows.
3.
Review the workstation’s production schedule.
4.
Compare scheduled maintenance with the displayed shifts.
5.
Move or adjust the maintenance window when required.
Shift windows are planning references.
They do not automatically confirm that production has released the workstation.

Overnight Shifts#

Fabritec accounts for shifts that begin on one date and end on the following date.
For example:
10:00 PM – 6:00 AM
The working period continues until 6:00 AM on the following day.
A suggested non-working period should not begin at midnight when the workstation remains inside an active overnight shift.
This protects planners from scheduling maintenance during the active tail of a night shift.

Interacting with Calendar Events#

The instruction above the calendar explains the main event actions:
Select an event to review its details.
Double-click a maintenance order to open it.

Selecting an Event#

Select a calendar event to review the available event information.
The details can include:
Order number
Maintenance type
Workstation
Maintenance plan
Status
Scheduled start
Scheduled end
Forecast due date
Priority
Production impact
The exact information depends on whether the selected event is:
A real maintenance order
A maintenance forecast
A shift window

Opening a Maintenance Order#

Double-click a maintenance order to open the complete order record.
The Maintenance Order Details page can provide access to:
Description
Status
Priority
Production impact
Scheduled dates
Actual dates
Assignee
Checklist
Parts
Comments
Attachments
Resolution
Failure Cause
Activity History
The available actions depend on the order status and the user’s permissions.

Opening a Forecast#

A forecast is a planning marker rather than an execution record.
It may display:
Maintenance plan
Workstation
Trigger type
Forecast due date
Current plan progress
A forecast does not behave like a scheduled maintenance order.
The exact forecast actions depend on the current Fabritec interface.

Unscheduled Preventive Orders#

The right-side Unscheduled preventive orders panel displays preventive orders that exist but do not yet have a confirmed schedule.
These orders are normally:
Type: Preventive
Status: Requested
Connected to an active maintenance plan
Missing a valid Scheduled Start and Scheduled End
The panel helps maintenance planners identify work that has been generated but still requires scheduling.

Information Displayed#

Each unscheduled preventive order can display:
Maintenance order number
Maintenance plan name
Workstation
Forecast due date
Schedule Order action
Example:
Order Number: MO26-00003
Plan: Maintest
Workstation: Automatic Welding Machine
Forecast Due By: July 28, 2026
The panel may display several preventive orders for different plans and workstations.

Forecast Due By#

Forecast Due By shows the expected date by which the maintenance plan is forecast to reach its due point.
For a Time Interval plan, this date is based on:
Last Service Date
Interval Value
For a Usage Hours or Usage Items plan, the date is estimated using recent workstation usage and future working days.
The forecast can change when usage changes.
Maintenance should be scheduled early enough to complete the work before the due point where practical.

No Available Forecast#

Usage-based plans may not have a forecast date when the workstation has no recent qualifying usage.
In this case, Fabritec may indicate that the forecast is not available.
This does not mean:
The order is invalid
The plan is inactive
The maintenance is unnecessary
It means Fabritec does not have enough recent usage to estimate a reliable calendar date.
The order can still be reviewed and scheduled manually.

Schedule Order#

Click Schedule order to assign a planned start and end to the preventive order.
To schedule an order:
1.
Review the order number.
2.
Confirm the maintenance plan.
3.
Confirm the workstation.
4.
Review the Forecast Due By date.
5.
Click Schedule order.
6.
Enter the Scheduled Start.
7.
Enter the Scheduled End.
8.
Review the estimated downtime.
9.
Review the production impact.
10.
Compare the schedule with shift windows.
11.
Review suggested non-working periods when available.
12.
Review cover candidates when available.
13.
Save the schedule.
After both scheduled timestamps are saved:
The order can move to Scheduled.
It appears as a real Preventive event on the calendar.
It is removed from the Unscheduled Preventive Orders list for that range.
The scheduled activity becomes visible in the Orders Calendar and Gantt views.
The workstation register can display it as the next scheduled work when applicable.
Scheduling does not start the maintenance work.
The actual maintenance impact begins according to the order lifecycle when execution starts.

Suggested Non-Working Windows#

When available, the Planning Calendar can suggest periods when the workstation is not expected to be operating.
These suggestions help planners place maintenance where it is less likely to disrupt production.
A suggested period can be based on:
Workstation calendar
Assigned shifts
Shift overrides
Working weekdays
Non-working days
Shift breaks
Overnight shift continuation
Existing maintenance windows
Required estimated downtime
Forecast due date
The suggestion is advisory.
Maintenance and production teams should confirm the proposed period before scheduling the order.

How Suggested Windows Work#

Fabritec reviews the workstation’s resolved production schedule.
It identifies the periods outside the workstation’s working windows.
When possible, it proposes a non-working period that:
Fits the Estimated Downtime
Does not overlap an active shift
Accounts for overnight shifts
Falls within the available planning range
Ends before the forecast due date when a forecast is available
For example:
Estimated Downtime: 3 hours
Forecast Due By: July 28
Shift: 7:00 AM – 4:00 PM
Fabritec may suggest an available period after the shift and before July 28, provided the full three-hour duration fits.

No Suggested Window#

The calendar may display:
No non-working suggestions in this range.
This can occur when:
The displayed range does not contain a suitable non-working period
The Estimated Downtime does not fit
The workstation operates continuously
Available windows conflict with other maintenance
The forecast due date is too close
The calendar or shift configuration does not provide a valid opening
When no suggestion is available, the planner can still schedule the order manually after coordinating with production.

Cover Candidates#

The Planning Calendar can display Cover Candidates for the selected maintenance order.
Cover candidates are other workstations that may be able to support production while the selected workstation is unavailable.
Candidates are normally identified from related or sibling workstations, such as members of the same workstation group.
Cover information helps production and maintenance teams determine whether work can be transferred during maintenance.

Cover Candidate Review#

Before using a cover workstation, confirm that it has:
The required production capability
The correct tooling
Available capacity
Qualified operators
A compatible production stage
No conflicting maintenance
No critical production commitment
No active breakdown or Full Stop condition
A workstation appearing as a cover candidate does not automatically transfer production work.
Production planning must confirm the reassignment.

No Cover Candidates#

The Planning Calendar may display:
No sibling workstations can cover this order.
This means Fabritec did not identify an available related workstation for the selected maintenance activity.
The maintenance planner should then consider:
Rescheduling the maintenance
Creating production inventory in advance
Using another production method
Coordinating overtime before maintenance
Splitting the maintenance into smaller windows
Accepting the planned production interruption

Refresh#

Click Refresh to reload the Planning Calendar.
Refresh updates:
Scheduled maintenance orders
Maintenance forecasts
Unscheduled preventive orders
Suggested non-working windows
Cover candidates
Shift windows
Order statuses
Forecast due dates
Use Refresh after:
Scheduling a preventive order
Updating an order’s scheduled dates
Completing maintenance
Changing a maintenance plan
Recording additional production usage
Reporting a breakdown
Changing a workstation calendar or shift

Scheduling a Preventive Order#

A practical scheduling workflow is:

1. Review the Unscheduled Order#

Confirm:
Order Number
Maintenance Plan
Workstation
Forecast Due By
Estimated Downtime
Default Production Impact
Priority

2. Review the Calendar#

Select an appropriate calendar period.
Use:
Day view for detailed scheduling
Week view for weekly coordination
Month view for broader planning
Agenda view for chronological review

3. Enable Shift Windows#

Turn on Show shift windows.
Review when the workstation is expected to operate.
Pay particular attention to:
Overnight shifts
Shift breaks
Weekend work
Shift overrides
Non-working days

4. Review Forecast Events#

Check when the maintenance plan is forecast to become due.
Schedule the maintenance before the forecast due date where practical.
Remember that usage-based forecasts can move as production changes.

5. Review Suggested Non-Working Windows#

When available, review the proposed low-impact period.
Confirm that:
The Estimated Downtime fits
The period does not overlap production
Required technicians are available
Required parts are available
Safety and access requirements can be met

6. Review Cover Candidates#

Determine whether another workstation can cover the affected production.
Confirm the candidate’s real capacity and capability before relying on it.

7. Schedule the Order#

Click Schedule order.
Enter:
Scheduled Start
Scheduled End
Review:
Impact
Estimated Downtime
Priority
Production commitments
Save the schedule.

8. Confirm the Calendar Event#

After scheduling:
1.
Confirm that the order appears on the calendar.
2.
Confirm that the date and time are correct.
3.
Confirm that the order no longer appears as unscheduled.
4.
Confirm that it does not conflict with another critical maintenance activity.
5.
Confirm that production has been informed.

9. Start Maintenance at the Actual Time#

When maintenance begins:
1.
Open the maintenance order.
2.
Record the Actual Start.
3.
Move the order to In Progress.
4.
Apply the maintenance impact through the normal lifecycle.
5.
Complete the checklist and parts records.
Scheduling alone does not activate the maintenance impact.

10. Complete the Order#

After maintenance:
1.
Complete all required checklist steps.
2.
Record all part outcomes.
3.
Test the workstation.
4.
Enter the Resolution.
5.
Record the Failure Cause for Breakdown orders.
6.
Enter the Actual End.
7.
Complete the order.
After completion:
The maintenance window closes.
Workstation availability is restored.
The order remains visible as maintenance history.
A plan-linked Preventive order establishes the next service baseline.
The next maintenance forecast is recalculated.

Complete Example: Scheduling an Unscheduled Preventive Order#

Assume the Planning Calendar displays the following unscheduled preventive order:

Step 1: Review the Calendar#

The planner opens:
Maintenance → Planning Calendar
The displayed Month view includes July 2026.
The planner confirms that the preventive order appears under:
Unscheduled preventive orders

Step 2: Review Shift Windows#

The planner enables:
Show shift windows
The Automatic Welding Machine is scheduled to operate during the main production shift.
The planner checks whether a three-hour non-working window exists before July 28.

Step 3: Review the Suggested Window#

Fabritec identifies a suitable period outside the workstation’s active shift.
The planner confirms:
The full three hours fit.
The maintenance ends before the forecast due date.
The required technician is available.
The required consumables and tools are available.
Production can accept the reduced-output period.

Step 4: Review Cover Candidates#

The planner reviews whether another welding workstation can support part of the scheduled work.
The candidate workstation is checked for:
Welding capability
Available capacity
Tooling
Operator availability
Existing workload
Production confirms whether work should be transferred.

Step 5: Schedule the Order#

The planner clicks:
Schedule order
The planner enters an appropriate Scheduled Start and Scheduled End before July 28.
After saving:
MO26-00003 moves to Scheduled.
The order appears as a Preventive event on the calendar.
It is removed from the Unscheduled Preventive Orders panel.
The order appears in the Scheduled column on the Maintenance Orders board.
The workstation register can display it as the next scheduled maintenance work.

Step 6: Execute the Maintenance#

At the scheduled time:
1.
The technician opens MO26-00003.
2.
The Actual Start is recorded.
3.
The order moves to In Progress.
4.
The applicable Reduced Output capacity window begins.
5.
The technician completes the checklist.
6.
Part outcomes are recorded.
7.
The workstation is tested.
8.
The Resolution and Actual End are entered.
9.
The order is completed.
After completion:
The capacity-reduction window closes.
The workstation returns to normal capacity.
The preventive plan receives a new baseline.
The next forecast is calculated from the new service point.

Complete Example: Coordinating a Full Stop Order#

Assume a scheduled preventive order applies to:
Galvanizing Bath
Order information:

Before scheduling, the planner:

Enables Shift Windows.

Checks whether another workstation can cover the process.
6.
Confirms technician and part availability.
7.
Schedules the order.
8.
Reviews the event in Week view.
9.
Confirms that no other critical Rolling or Galvanizing workstation is stopped at the same time.
10.
Notifies production.
When the order enters In Progress:
The Full Stop window becomes active.
The Galvanizing Bath is removed from overlapping production capacity.
The workstation appears as Down.
The event is treated as maintenance downtime, not as an operator coverage gap.
After completion:
The downtime closes.
The workstation returns to Idle.
Normal capacity becomes available again.

How to Review the Planning Calendar#

A practical calendar review can be completed in the following order:
1.
Review the Shown Period.
2.
Check Breakdown events first.
3.
Review Full Stop maintenance orders.
4.
Review Preventive, Corrective, and Inspection events.
5.
Compare scheduled orders with Maintenance Forecasts.
6.
Review Unscheduled Preventive Orders.
7.
Check Forecast Due By dates.
8.
Enable Shift Windows.
9.
Review Suggested Non-Working Windows.
10.
Review Cover Candidates.
11.
Schedule urgent preventive orders.
12.
Check for overlapping critical maintenance.
13.
Confirm the calendar with production and maintenance teams.
14.
Refresh after scheduling changes.

Permissions#

Planning Calendar access and actions depend on maintenance permissions.
Relevant permissions include:
View Maintenance Orders — Displays scheduled maintenance orders and allows users to open order details.
View Maintenance Plans — Displays preventive-plan information and maintenance forecasts.

Governance Rules#

A Maintenance Forecast is not a scheduled maintenance order.
Forecasts and actual orders must remain visually distinct.
Preventive orders are generated as Requested and unscheduled.
Both Scheduled Start and Scheduled End are required to schedule an order.
Scheduled End must be later than Scheduled Start.
Scheduling does not mean maintenance has started.
Maintenance impact is applied according to the order lifecycle.
Unscheduled preventive orders remain visible until a valid schedule is saved.
Forecast dates can change when workstation usage changes.
Time Interval forecasts are based on the Last Service Date and interval.
Usage-based forecasts depend on recent workstation usage.
No recent usage can result in an unavailable forecast date.
Shift windows should be reviewed before scheduling maintenance.
Overnight shifts must be treated as continuous working periods.
Suggested non-working windows are advisory.
Suggested windows should fit the full Estimated Downtime.
Suggested windows should not extend beyond the forecast due date when a due forecast exists.
Cover candidates are advisory and do not automatically transfer production.
Production must confirm whether a cover workstation can perform the work.
Full Stop maintenance removes only the affected workstation from capacity.
Reduced Output maintenance lowers capacity without fully stopping the workstation.
No Stop maintenance does not create a capacity-loss window.
Maintenance downtime must not be treated as an operator coverage gap.
Calendar changes should be communicated to production and maintenance teams.
Actual Start and Actual End must reflect real execution times.
Completing a plan-linked Preventive order recalculates the next maintenance forecast.

Confirm that the full Estimated Downtime fits the selected window.
Do not rely on a forecast as a confirmed appointment.
Recheck usage-based forecasts as production changes.
Review cover candidates before scheduling Full Stop maintenance.
Confirm actual cover capacity with production planning.
Avoid stopping several bottleneck workstations at the same time.
Coordinate Full Stop maintenance with production release.
Confirm tools, parts, technicians, and safety requirements before scheduling.
Enter both Scheduled Start and Scheduled End.
Confirm scheduled events after saving.
Record Actual Start only when maintenance begins.
Keep order statuses updated during execution.
Complete orders promptly so forecasts and baselines remain accurate.
Use Refresh after scheduling, plan, or production updates.
Review overdue unscheduled orders separately from future forecasts.
