Below are the most common and expected questions customers raise when learning to manage
Shipping operations
inside Fabritec.
1️⃣ Why can’t I find my items when creating a new dispatch?
#
Items will only appear in the Packing List if:
They
completed production
They
passed QC
(if inspection required)
They were
accepted into the Shipping Yard
If any step is missing, items will not be selectable for shipping.
2️⃣ Can I ship items directly without going through the Shipping Yard?
#
No.
Fabritec requires items to enter the
Shipping Yard
first to ensure:
Accurate yard inventory
Proper traceability
Preventing accidental shipment of unfinished items
3️⃣ What is the difference between Dispatch Number and Shipping Date?
#
Dispatch Number
→ Unique reference for the shipment
Shipping Date
→ Actual date the shipment is recorded or expected to depart
Both appear on packing lists and export documents.
4️⃣ Why is the truck information required?
#
Truck and driver details ensure:
Compliance with shipping audits
Traceability during transportation
Accurate dispatch documentation
Customer confirmation and delivery verification
Without these fields, the dispatch cannot be saved.
5️⃣ What happens when I save a dispatch?
#
Once saved:
Items are marked as
shipped
They move from yard inventory to dispatch logs
Reports and dashboards update
The dispatch becomes visible in the Shipping table
6️⃣ Can I edit a dispatch after saving it?
#
Yes — but only administrators or users with the appropriate permissions can edit:
Driver details
Truck information
Delivery notes
Packing list items (adding/removing)
However, editing is restricted after the shipment is finalized or exported.
7️⃣ Why does the system prevent me from adding more quantity than available?
#
Fabritec validates quantities to prevent:
Over-shipping
Negative yard inventory
Logistic inconsistencies
You can only ship what has been accepted into the yard.
8️⃣ Can multiple dispatches include items from the same project phase?
#
Yes.
Shipping is flexible and supports:
Multiple dispatches per day
Multiple shipments for the same phase
Partial shipments for large structures
Just ensure quantities remain accurate.
9️⃣ How does the system calculate Net Weight and Gross Weight?
#
Net Weight
= Weight of items added to the dispatch
Gross Weight
= Net Weight + Additional truck weight (if applicable)
This helps for weighing bridges, auditing, and compliance.
🔟 Why do some items show “Not Available” during packing selection?
#
Possible causes:
Items not yet entered into the yard
Already assigned to another dispatch
QC still pending
Stage not fully completed in production
Check Tracking, QC, and Yard entries first.
11️⃣ What documents can I attach in the Delivery Notes tab?
#
You can upload:
Delivery slips
Customer approvals
Weighbridge receipts
Photos
Signatures
PDFs or images related to the shipment
These attachments become part of the dispatch history.
12️⃣ Can I duplicate or copy a previous dispatch?
#
Currently, Fabritec does not support auto-duplication of dispatches.
However, you can manually reselect the same items if needed.
13️⃣ Why is my dispatch missing from the Shipping Table?
#
Check the following:
Filters may be applied
Dispatch date range may hide older records
Dispatch was not saved successfully
Permissions may limit what you can view
Clear filters and reload the page.
14️⃣ Can I export the shipping table?
#
Yes — exports are available in:
Excel
→ for logistics planning
PDF
→ for official documentation and customer communication
Exports include full dispatch information.
15️⃣ How does Shipping connect to Tracking and QC?
#
Shipping relies directly on:
Tracking
→ Items must complete all routing stages
QC
→ Items must pass inspection if required
Shipping Yard
→ Items must be accepted before dispatch
Each module feeds into Shipping to ensure correct, safe, and traceable dispatch operations.
