FAQs for the Users

❓ FAQs for the Users Section#

Below are the clearest answers to the most common questions customers ask when managing Users in Fabritec.

1️⃣ What is the difference between a User, a Role, and a Department?#

A User is an individual account that logs into the system.
A Role defines what the user can do (permissions).
A Department defines where the user belongs in the organization.
All three work together to control access, structure teams, and maintain clear accountability.

2️⃣ Can one user have multiple roles?#

Yes.
A user can be assigned multiple roles, and Fabritec automatically combines the permissions from all assigned roles.
This is useful for supervisors or staff with multiple responsibilities.

3️⃣ What happens if I assign the wrong role to a user?#

The user may:
See pages they shouldn’t
Miss critical permissions
Be unable to perform key tasks
You can edit their Role at any time — changes take effect immediately.

4️⃣ Is an email address required, and why?#

Yes — a valid email is recommended because it is used for:
Password reset
Account verification
Notifications
Without a valid email, the user may not recover their account or receive updates.

5️⃣ Why can’t a locked user log in? How do I unlock them?#

A Locked user is intentionally disabled and cannot access the system.
To unlock them:
1.
Go to Users
2.
Click Unlock in the user’s action menu
Unlocking restores instant access with no data loss.

6️⃣ Can I delete a user who has already performed actions in the system?#

No.
Users with historical activity (production logs, QC approvals, updates, etc.) cannot be deleted for audit integrity.
Instead, you can lock the user to disable their access.

7️⃣ Can two users share the same username?#

No.
Usernames must be unique to ensure accurate login, tracking, and accountability.
Best practice is to use meaningful names (e.g., A.Elsharqawi, QC.Ahmed).

8️⃣ What happens to data if a user changes department or role?#

Historical logs remain unchanged.
Changing departments or roles affects:
Future permissions
Access to modules
Filtering in user lists
But past actions remain fully traceable.

9️⃣ Does Fabritec track user activity such as last login?#

Yes.
The Users page shows each user’s Last Login, helping managers track engagement, system usage, and active operators.

🔟 Can I import users in bulk instead of adding them one by one?#

Yes.
Fabritec supports bulk import via Excel/CSV during onboarding — especially helpful for large factories with hundreds of employees.

11️⃣ How do I reset a user’s password or resend email verification?#

You can manage this through:
The “More Options” menu in the user record
Or by directing users to click Forgot Password on the login page
Password resets are sent via email.

12️⃣ What is the impact of assigning the wrong department?#

Department assignment does not affect permissions.
However, it may affect:
Organizational structure
Filtering in user lists
Reporting clarity
Assign users to the correct department for clean organization.

13️⃣ Can I restrict certain users to “view only”?#

Yes.
Create a View-Only Role that includes only “View” permissions.
Assign this role to auditors, reviewers, supervisors, or external consultants.

14️⃣ How do I temporarily disable a user without deleting them?#

Use the Lock option.
Locked users:
Cannot log in
Keep all historical logs and activity
Can be unlocked later anytime
This is the recommended way to disable accounts.

15️⃣ Are user accounts shared, or must each person have their own login?#

Each person must have their own unique login.
Sharing accounts:
Breaks traceability
Violates accountability standards
Causes conflicting activity logs
Fabritec is designed for individual, secured user accounts.
