FAQs for the Departments

❓ FAQs for the Departments Section#

Below are clear answers to the most common questions users ask when setting up and managing Departments in Fabritec.

1️⃣ What is the purpose of creating Departments in Fabritec?#

Departments help you organize users based on your company structure.
They improve:
User organization
Filtering and sorting
Reporting clarity
Responsibility alignment
Departments make it easier to manage large teams and understand who belongs to which functional area.

2️⃣ How do Departments differ from Roles?#

Departments = Organizational groups (who the users belong to)
Roles = Permission groups (what users are allowed to do)
A user may belong to the QC Department but have a Role that limits them to viewing documents only.
The two functions serve different purposes and do not overlap.

3️⃣ Can a user belong to more than one department?#

No.
Each user can be associated with only one department at a time.
If a user works across multiple areas, choose the main department they report to.

4️⃣ What happens if I assign the wrong manager to a department?#

Nothing breaks — you can update the manager at any time.
Changing the manager does not affect:
User permissions
Approvals
Existing data
It only updates the department’s organizational reference.

5️⃣ Why can’t I delete a department?#

You cannot delete a department if:
It has users assigned to it
You must reassign those users to another department before deletion.
This prevents data inconsistencies.

6️⃣ Does assigning a user to a department affect their system access?#

No.
Permissions come only from Roles, not Departments.
Departments help organize users but do not grant or restrict access.

7️⃣ Can I change a department name after it is created?#

Yes.
You can rename a department anytime without affecting:
Users
Roles
Data
System access
Renaming is safe and commonly used during restructuring.

8️⃣ Are departments required for all users?#

Yes.
Every user should belong to a department for clarity and organization.
It helps managers track team structure and improves filtering across the system.

9️⃣ How do departments appear in reports and dashboards?#

Departments can be used to:
Filter users
Analyze team-specific performance
Understand responsibility distribution
Support HR and management reviews
They add structure to reporting, especially in user-based reports.

🔟 Can two departments have the same manager?#

Yes.
A single manager can supervise multiple departments if needed.
This is common in small and medium factories.

11️⃣ Can I export a list of users by department?#

Yes.
From the Users or Departments section, you can export data to Excel or PDF, including department groupings.
Useful for audits, HR reports, and workforce planning.

12️⃣ Does assigning a manager give them extra permissions automatically?#

No.
Assigning a manager is organizational only — it does not grant any system permissions.
To give system access, assign a Role.

13️⃣ Can departments be used to organize production teams (e.g., Welding, Cutting, QC)?#

Yes.
Many factories structure departments based on:
Welding
Cutting
QC
Painting
Shipping
Planning
This makes user management clearer and reporting more meaningful.

14️⃣ What happens to users when a department is deleted?#

You cannot delete a department until all its users are reassigned.
Once reassigned, the department can be safely removed without affecting user data.

15️⃣ Can I filter users or tasks by department in other areas of Fabritec?#

Yes.
Departments can be used to filter and organize:
User lists
Access rights
Reports
Internal reviews
This helps streamline navigation across the platform.
